Content Moderation & Safety Procedures

This document outlines the internal procedures Wonder Color Me Fun LLC follows to:

  • Monitor user activity for violations
  • Handle reports from parents/guardians
  • Remove harmful or inappropriate content
  • Maintain a safe platform for children ages 0-8
  • Document all moderation actions for compliance purposes

This document is for internal use and should be maintained as part of company records to demonstrate COPPA compliance and reasonable child safety practices.

2. MODERATION TEAM RESPONSIBILITIES

2.1 WHO IS RESPONSIBLE?

3. REPORT INTAKE PROCESS

3.1 HOW PARENTS/GUARDIANS REPORT VIOLATIONS

Reports should include:

  • The account or content involved
  • Screenshots or other evidence (if available)
  • Contact information
  • Date/time the violation was observed

3.2 REPORT LOGGING

Upon receipt, each report is:

1. Logged with the date/time received

2. Assigned a ticket/reference number

3. Reviewed for completeness (if missing key info, contact parent for clarification)

4. Prioritized based on severity

5. Added to review queue

3.3 PRIORITY LEVELS

**LEVEL 1 - URGENT (Review within 4 hours):**

  • Child safety concerns (inappropriate contact with children, grooming, abuse material, etc.)
  • Illegal content
  • Severe harassment or threats

**LEVEL 2 - HIGH (Review within 24 hours):**

  • Hate speech or discriminatory content
  • Repeated violations after warning
  • Bypass of parental controls

**LEVEL 3 - STANDARD (Review within 48 hours):**

  • Minor policy violations (first-time spam, accidental inappropriate language)
  • Content that doesn't fit platform's age-appropriateness
  • Commercial spam

4. CONTENT REVIEW PROCEDURE

4.1 INITIAL REVIEW

Moderator reviews:

  • The reported content itself
  • The account history (previous violations? warnings issued?)
  • The context (accidental vs. intentional violation?)
  • Any available evidence (screenshots, recordings, timestamps)

4.2 VIOLATION ASSESSMENT

Determine if content violates:

  • Acceptable Use Policy (hate speech, spam, inappropriate content)
  • COPPA compliance (personal information shared)
  • Child safety (abuse, grooming, illegal activity)
  • Platform terms (parental control bypass, unauthorized access)

4.3 DECISION DOCUMENTATION

Record the following for each review:

  • Date/time of review
  • Reviewer name
  • Report reference number
  • Violation type(s) identified
  • Evidence reviewed
  • Decision made (approved, removed, account suspended, etc.)
  • Reasoning for decision

5. MODERATION RESPONSES

5.1 NO VIOLATION FOUND

If the report is determined to be false or doesn't violate policy:

  • Close the ticket
  • Log the decision and reasoning
  • No further action needed

5.2 MINOR FIRST-TIME VIOLATION

Action:

1. Send email to parent/guardian with:

  • Description of the violation
  • How it violates the Acceptable Use Policy
  • Request for compliance going forward
  • Link to the Acceptable Use Policy

2. Do NOT remove content on first minor violation

3. Mark account for monitoring (flag in system)

4. Set follow-up review in 7 days to ensure no repeat violations

Trigger:

  • Account used by unauthorized person
  • Repeated violations after suspension

Action:

1. Immediately terminate account

2. Remove all content posted by account

3. Schedule data deletion within 14 days

4. Send termination notice to parent/guardian with:

  • Reason(s) for termination (be specific)
  • Effective date
  • Data deletion timeline
  • Appeal process (if applicable)

5. If legal concern, report to authorities as required
